# How Do You Get the Right Person Notified When a Machine Alarm Fires?

Published by [Anna Van Niejenhuis](https://blog.trustedinsite.com/blog/author/anna-van-niejenhuis) on Nov 6, 2026, 8:00:00 AM

**The Quick Answer**
Route the alert automatically instead of waiting for someone to notice it, interpret it, and pass it along.

A well-designed workflow classifies the alert by severity, matches it to the right technician’s skills, logs it for tracking, and notifies the team. It turns a machine alert into action instead of more noise.

Consider a representative manufacturing scenario.

A precision tube and pipe manufacturer supplies products for aerospace and nuclear applications. Hardened dies cold-roll its tubing to an exact wall thickness and diameter, while the grinding machines that shape those dies stream live diagnostic data around the clock.

The data is available. The problem is what happens after an alert fires.

Someone has to notice the alert, notify maintenance, walk to the floor, look up the error code in a manual, and gather the right tools. All of that happens before the real work can begin.

### **Connecting the Sensor Is the Easy Part**

Machine alert projects are often treated as data projects: get the machine talking to a dashboard.

That is necessary, but it is not the finish line.

A few common problems appear when a manufacturer looks closely at what happens after an alert fires:

- **No defined severity:** Every alert competes for the same attention, whether it is routine or urgent.
- **No escalation path:** The right person finds out last instead of first, often after someone has already walked the floor to determine who should be notified.
- **No captured context:** The technician begins with an error code rather than useful information about the likely problem, its severity, and the appropriate response.

### **More Alerts Without More Clarity Is Just More Noise**

Every handoff adds delay.

In the wrong moment, a die drifting out of tolerance can put an entire production run at risk before anyone reaches the machine.

This is not a fringe concern. ANSI/ISA-18.2, the [alarm management standard](https://www.isa.org/intech-home/2016/may-june/departments/isa18-alarm-management-standard-updated) from the International Society of Automation, exists because poorly managed alarm systems have repeatedly contributed to major process incidents.

### **An Ignored Alert Costs the Same as No Alert at All**

The solution is not simply a better dashboard. It is a workflow that removes unnecessary handoffs instead of displaying the same information faster.

Here is what that can look like:

- **Start with one bounded use case.** Do not begin with a plant-wide overhaul. Choose one alert type that causes meaningful delays or downtime.
- **Classify the alert automatically.** Match the alarm against a defined severity and error-code guide instead of waiting for someone to interpret it.
- **Route it based on the skills required.** A hydraulic issue should reach someone with hydraulic experience. Electrical and mechanical issues should follow their own paths.
- **Include useful context.** Give the technician the machine, alarm code, severity, possible cause, recommended next step, and relevant documentation.
- **Log the alert and notify the team.** Create a record for tracking and post the notification where the team already works.
- **Measure the result.** Compare response time, troubleshooting time, and downtime before and after the workflow is introduced. The goal is not simply to prove that the alert fired. It is to determine whether the workflow helped the team respond faster and reduced the operational impact.

### **A Practical, Bounded AI Use Case for Manufacturers**

An alert-to-action workflow can be one of the clearest and most manageable AI use cases available to manufacturers.

It does not require a new machine, sensor, or dashboard. The workflow can be layered on top of an existing alarm system and the data the plant already collects.

When an alert fires, an AI-supported workflow can:

1. Read the alert.
2. Check it against the machine’s error-code and severity guide.
3. Classify the issue.
4. Add relevant troubleshooting context.
5. Log it for tracking.
6. Assign it to the right technician.
7. Notify the team through an existing communication channel.

The workflow can complete those steps in minutes instead of relying on a series of manual handoffs.

The potential payoff is significant. McKinsey Global Institute research on industrial IoT found that using real-time data to predict and act on equipment issues can [reduce unplanned downtime by up to 50 percent](https://www.mckinsey.com.br/capabilities/tech-and-ai/our-insights/the-internet-of-things-the-value-of-digitizing-the-physical-world).

That does not mean every manufacturer will immediately achieve a 50 percent reduction. It does show what becomes possible when machine data leads to timely action rather than sitting in a dashboard.

### **Start With the Handoff, Not the Technology**

Removing the handoffs between an alert and the person who acts on it is a narrow example of a broader shift happening across manufacturing.

Many manufacturers already have valuable data in their machines and systems. The opportunity is to make sure the right information reaches the right person, with enough context to act, without someone manually relaying it along the way.

InsITe’s approach starts with one bounded use case, measures whether it creates value, and builds outward from there.

The next time an alert fires on your floor, do you know who sees it, what they are supposed to do, and whether the solution actually fixed the problem?

### ABOUT INSITE BUSINESS SOLUTIONS:

Most West Michigan manufacturers know they need to connect their shop floor systems with their business systems. But figuring out how to bridge that gap is like playing vendor roulette. They often end up picking either an IT shop or an automation house, or a combination of both.

InsITe has IT and OT engineers on staff. One call, one team, one point of accountability across the full tech stack. Before we recommend anything, we walk your shop floor and then design the solution, execute the implementation, and own the outcome through managed services, security, and ongoing support.

If you're looking for IT or OT help from people who understand the ins and outs of manufacturing, we can help.
